Swimlanes is a dedicated view builder in Redbooth that maps your tasks across a two-dimensional grid, available on the Business plan and up. You choose one field for rows and one for columns – and Redbooth instantly lays out all of your tasks at the intersection of each pair. Unlike the standard kanban board or list views, Swimlanes pulls tasks from across your workspaces into a single unified canvas, making it the fastest way to see the full picture of your team's work.
You can group rows and columns by any combination of: Assignee, Tag, Task List, Workspace, or Due Date. Swap the axes with one click, narrow the view with filters, and save your favourite configurations as named Swimlane Views to access anytime.
Organize your tasks across rows and columns with filters.
Accessing Swimlanes
Swimlanes is available from the main navigation bar at the top of every page in Redbooth.
- Click Swimlanes in the top navigation bar.
- The Swimlanes canvas will open with a setup prompt asking you to choose your row and column fields.
- Select your fields and your grid will populate immediately.
Setting Up Your Swimlane View
Choosing Row and Column Fields
When you first open Swimlanes, you'll see a setup card with two dropdown menus:
- The left dropdown sets your row field (the labels running down the left side of the grid).
- The right dropdown sets your column field (the labels running across the top of the grid).
Each dropdown offers the same five field options:
| Field | What it groups by |
|---|---|
| Assignee | One row (or column) per team member. Unassigned tasks appear in a separate row. |
| Tag | One row (or column) per tag. Tasks with multiple tags appear in each relevant row. |
| Task List | One row (or column) per task list across all workspaces. |
| Workspace | One row (or column) per workspace you have access to. |
| Due Date | One row (or column) per due date. Tasks without a due date are grouped together. |
Swapping Rows and Columns
You can swap your axes at any time without reconfiguring your view. Click the swap icon (⇄) between the two field dropdowns and Redbooth will instantly transpose the grid – your rows become columns and your columns become rows.
This is useful when you want to quickly switch perspective, for example from "assignee rows, tag columns" to "tag rows, assignee columns", without changing your filter settings.
Filtering Your Swimlane View
The Filters button (top toolbar, next to your field dropdowns) lets you narrow the tasks shown in your grid. You can filter by:
- Assignee
- Tag – including support for tag groups (e.g. "CLIENT", "DEPARTMENT")
- Task List
- Workspace
- Due Date
Filters stack – you can apply multiple filters at once to focus the grid on exactly the slice of work you need.
Saving Swimlane Views
Once you've configured your row field, column field, and any filters the way you want them, you can save the configuration as a named view to quickly return to it later.
- Click Save new Swimlane View in the top toolbar.
- Give your view a name (e.g. "By Assignee × Tag" or "Sprint Board").
- Click Save. Your view will appear in the Swimlanes section for easy access.
Saved views remember your row field, column field, and all active filters. You can create as many saved views as you need.
Tips and Best Practices
- Keep your tags consistent across workspaces so Swimlane groupings are meaningful.
- Save a separate Swimlane View for each recurring meeting or reporting cadence so you can pull it up instantly.
- Use the swap button to quickly check your data from the opposite angle before presenting to stakeholders.
- Combine Workspace rows with Assignee columns to onboard new team members – they can see everything their colleagues are working on across all projects.
- If a cell in the grid is empty, it simply means no tasks currently match that row/column combination – this is expected and not an error.
Frequently Asked Questions
Which tasks appear in Swimlanes?
Swimlanes shows all tasks from all workspaces you have access to in Redbooth. If you can see a task in a workspace, it will appear in Swimlanes when it matches your configured row and column fields.
Can I edit tasks directly from Swimlanes?
Yes. Click any task card to open the task detail panel, where you can update the title, assignee, due date, tags, and more – just as you would in any other Redbooth view.
What happens if a task has multiple tags?
If you group by Tag, a task with multiple tags will appear in every row (or column) corresponding to each of its tags. This ensures no task is hidden because of multiple labels.
